How to Request an Apartment Buzzer Setup From Your Building Manager
By Ty · 2026-09-09
Your move-in date is approaching, and you need the buzzer ready before the movers, deliveries and friends start arriving. Or you are switching to a buzzer service and want your building manager to make the change without several rounds of emails.
A clear request gets the important decisions into one place: the telephone number to use, when to make the change and how your household wants to receive visitors. You can copy the template below into an email or your building’s resident portal.
How to fix it
Choose how you want the buzzer to work before submitting the request. That saves asking for another change after discovering that a single phone number does not suit your household.
| Option | Pros | Cons |
|---|---|---|
| Send your personal mobile number | Straightforward setup without another service | Buzzer calls depend on you answering |
| Request multiple household phone numbers | Gives another resident a chance to answer | Depends on the building’s available calling features |
| Lowkey | Shared access, visitor passcodes and scheduled entry without new hardware | Quick one-time setup with your building |
If you are keeping an out-of-town mobile number, ask about local calling requirements before choosing the buzzer number. The Toronto local-number guide and Calgary local-number guide explain how a separate number can help you keep your existing phone service.
Copy and fill in this request:
Hi [building manager], I would like to set up the buzzer for [building address and apartment number]. Please use [directory display name] for the entry and [telephone number] for incoming buzzer calls. Could you confirm that this number meets the building’s calling requirements and arrange the change for [date]? Please let me know if I should submit a building form or if there is a setup fee. I can be available at [time] to test a call and door release once it is ready. Thanks, [name and contact details].
For a new service, send the number supplied for your buzzer rather than changing your personal mobile account. If your household uses more than one visitor entrance, mention those entrances in the request so the setup covers the route people actually take.
Once the change is scheduled, arrange a quick test with a roommate or friend at the entrance. Have them find your directory entry, call you and confirm that you can release the building door. Then try any additional household phones or visitor access you have chosen. For passcodes, the visitor should dial your entry first and enter the code when prompted.
Keep a copy of the agreed setup with your move-in notes. It is useful when another roommate moves in or a regular visitor needs instructions. You can print this page and fill in the template, or copy it into a message without the surrounding guide. If you are arranging access for a home service, the dog-walker access guide covers the separate plan for your apartment door.
Where Lowkey helps
Lowkey makes a directory update the starting point for easier visitor access. Your building manager adds the virtual phone number, and your household can share buzzer access, create visitor passcodes and schedule recurring arrivals from the app. There is no hardware to install or building entry panel to replace. Expected visitors can get through the building entrance without waiting for you to pick up every call.
